Human Resources & Administration Officer
This Role:
Position Objective
The Human Resources & Administration Officer will be responsible for ensuring that the office is operationally efficient and effective.
Description
Provide a high standard of human resources and administration support to Generations and its schools.
Reporting Line
The position holder reports directly to the Human Resources and Administration Manager (HRM) who reports to the Executive Director (ED) of Generations Christian Education (GenCE) or his/her delegate.
Responsibilities
- Office Administration
- Assist the HRM in discharging all aspects of the administrative duties at Generations Christian Education and its schools including but not limited to medical insurance administration, general insurance administration, leave administration, procurement administration, office administration, etc
- Work with administrative staff of GenCE member schools for the health & safety issues.
- Ensure that accurate administration and human resources forms are in place.
- Liaise with GenCE member schools involved in policy areas such as staff performance and health and safety.
- Human Resource Administration
- Responsible for full spectrum of Human Resources services including but not limited to recruitment & selection, payroll administration, MPF administration, medical administration, compensation and benefits, performance management, DISC administration, etc.
- Ensure that accurate job descriptions are in place.
- Organise staff training sessions, workshops and activities.
- Interpret and advise on employment law.
- Plan and at times deliver training – including new staff induction.
- Preparation of the Employer’s Return tax forms (e.g., IR56B and IR56M).
- Place recruiting ads with designated local and/or overseas newspapers and recruiting agencies, and work with IT administrators to update the “current openings” information on the website.
- Prepare new and renewal employment agreements.
- Assist the HRM to complete the hiring process – for example, the work / dependent visa applications for newly hired expatriate teachers/staff, the applications for overseas qualification assessment to HKCAAVQ, and the applications for teacher registration to the Education Bureau.
- Assist the expatriate teachers/staff with working visa applications and renewals, and update HR record accordingly.
- Responsible for the application of teacher registration and HKCAAVQ assessment.
- Responsible for the staff SCRC record.
- Provide advice on HR related issues to all staff.
- Working with Finance, provide advice on applicable salary scales.
- Carry out ad hoc projects as assigned.
- Additional Duties
- To perform other duties and ad hoc projects as assigned by HRM or his/her delegate.
- Other duties as necessary and related.
Organisational Relationships
- Internal Liaisons: Executive Director, Principals, Senior Leadership Team, school teaching and non-teaching staff, the Schools’ Parents’ Associations, parents, school community members.
- External Liaisons: School community members, suppliers/vendors, HK Government (e.g., EdB, Immigration, Police & Labour).
Accountability & Extent of Authority
The position holder must ensure that he/she operates in accordance with the specific objectives and strategies determined for the effective management of the Group and its Schools’ resources and that decisions made by the position holder are subject to review by the Executive Director or his/her delegate.
Requirements
- Experiences, Skills and Knowledge
- At least one-year relevant experience preferred in international schools
- At least three years in HR field or business administration in any capacity
- Well-versed in Employment Ordinance and other relevant regulations
- A good team player with excellent command of written and spoken English and Chinese preferred
- Excellent computer knowledge in Microsoft Office, including Microsoft Word, Excel and Google Suite
- Good interpersonal skills with strong sense of responsibility and priority setting within self-directed work
- Qualification
- Diploma holder or above in business administration, human resources management or related discipline
