Job Purpose

  • To be the first point of contact for our school.
  • To undertake a range of delegated asks and responsbilities of a secretarial and administrative nature.

Job Description

  • Welcome visitors, issue visitor passes and deal with enquiries
  • Monitor the visitor’s book and ensure that children arriving or leaving school outside regular school hours are signed in or out
  • Answer all incoming calls and take and distribute messages
  • Retrieve messages from answer phone and action accordingly
  • Sort and distribute post
  • Accept/sign for deliveries
  • Assist with photocopying tasks
  • Type letters and documents for members of staff
  • Distribute any information to be sent home with children
  • Monitor attendance registers
  • Contact parents when absence is not notifie0d
  • Issue parent communications via e-mail
  • Update pupil information on records
  • Liaise with coach companies for school trips as required
  • Help coordinate collections and fundraising activities e.g. Scholastic Books orders
  • Assist with lunch/break supervision

General Responsibilities:

  • Comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection, reporting concerns to an appropriate person. Respect the confidentiality of all matters relating to the school, pupils and staff.
  • Contribute to the overall ethos/work/aims of the school.
  • Help coordinate collections and fundraising activities e.g. Scholastic Books orders

Skills and knowledge

Essential:

  • Fluent in English and Cantonese
  • Strong IT skills (e.g. Word, Excel, Outlook)
  • Well organized
  • Quality in attention to detail
  • Work well in a team environment

Desirable:

  • Mandarin speaker

Experience

Essential

  • Minimum 2 years administration and/ or secretarial positions held

Desirable

  • Experience in International school setting

Qualifications and training

Essential

  • Completed a suitable education course higher than Form 7

Desirable

  • Bachelor’s Degree
